This policy explains how GuardDog Digital collects and uses personal data when you visit guarddog.digital, contact us, or use our website design, development and support services.
1. Who we are
GuardDog Digital is a trading name of Ffon Solutions Limited, a company registered in England and Wales (company number 14646146) with its registered office at 82a James Carter Road, Mildenhall, Bury St Edmunds, England, IP28 7DE. Ffon Solutions Limited is the data controller for the personal data described in this policy. Ffon Solutions Limited also trades as Raleway (website hosting) and provides eDOB (digital occurrence book software).
For any privacy question, email [email protected].
2. The data we collect
- Enquiry data: your name, company, email address, phone number and anything you tell us when you use a contact form or email us.
- Customer data: contact and billing details, project information, website content you supply and records of support requests.
- Technical data: IP address, browser type, device information and server logs created when you visit our website, used for security and to keep the site running.
We do not intentionally collect special category data. Please don’t include sensitive information in contact forms.
3. How and why we use it
- To reply to enquiries and prepare quotes (legitimate interests, or steps before entering a contract).
- To design, build, host and support your website (performance of a contract).
- To invoice, keep accounts and meet tax and legal obligations (legal obligation).
- To protect our website and systems from misuse, spam and attacks (legitimate interests).
- To send occasional updates about our services to business customers, which you can opt out of at any time (legitimate interests, or consent where required).
4. Who we share it with
We never sell your data. We share it only where needed to run our services:
- Raleway, our hosting service, which hosts this website and our customers’ websites on servers in the UK.
- Email, accounting and payment providers who process data on our behalf under contract.
- Google Fonts, which delivers the typefaces used on this site and receives your IP address when the fonts load.
- Professional advisers, regulators, law enforcement or courts where the law requires it.
5. International transfers
Our website and hosting are in the UK. Where a supplier processes data outside the UK, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement.
6. How long we keep it
Enquiries that don’t become projects are deleted within 24 months. Customer and financial records are kept for six years after our relationship ends to meet legal and tax requirements. Server logs are kept for a short period for security purposes.
7. Your rights
Under UK data protection law you can ask to access, correct or delete your data, restrict or object to how we use it, and receive a copy in a portable format. Email [email protected] and we’ll respond within one month.
If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to put things right first.
8. Websites we build for you
When we build or host a website for you, you are the data controller for personal data collected through that website, and we act as your processor. Our processing terms are set out in our terms of service and your hosting agreement with Raleway.
9. Cookies
See our cookie policy for details of the cookies this website uses.
